About The Opportunity
A remote role in the Behavioral Health & Education sector providing administrative and operational support to leaders within an Applied Behavior Analysis (ABA) services and training organization. This position supports executive workflows, clinician coordination, and mission-driven program delivery across the United States while maintaining strict patient privacy standards.
Role & Responsibilities
- Manage complex executive calendars, schedule cross-timezone meetings, and proactively resolve conflicts to maximise leadership productivity.
- Coordinate virtual meetings and board-level calls: prepare agendas, manage video-conferencing logistics (Zoom), take minutes, and track follow-ups.
- Handle travel planning, vendor bookings, and expense reporting using corporate tools (e.g., Expensify); reconcile and submit expense reports timely.
- Draft, edit, and format executive communications, presentations, and internal memos with strong attention to confidentiality and HIPAA-sensitive content.
- Act as liaison between clinical teams, external partners, and stakeholders—triaging requests, escalating critical issues, and ensuring timely responses.
- Support small projects and operational initiatives: maintain task trackers, coordinate deliverables, and report status to leadership.
Must-Have
- Proven experience as an Executive Assistant or Senior Administrative professional supporting C-suite or senior leaders in a remote environment.
- Expert-level proficiency with Outlook and Google Workspace for calendar management, email triage, and document collaboration.
- Familiarity with virtual collaboration and scheduling tools (Zoom, Slack, Calendly) and remote meeting best practices.
- Experience with expense management platforms (Expensify or equivalent) and basic travel coordination workflows.
- Working knowledge of HIPAA requirements and demonstrated ability to handle confidential clinical or client-related information appropriately.
- Excellent written communication, professional correspondence, and executive-level document preparation skills.
- Experience with ABA practice management / EHR platforms (e.g., CentralReach, TheraPlatform, Rethink).
- Familiarity with project/task management tools (Asana, Trello, or Notion).
- Bachelor’s degree or coursework in healthcare administration, business, or a related field.
