About The Role

We are seeking a highly strategic and exceptionally capable Executive Assistant to join our team. This role requires an individual who is a calm, organized, and proactive force multiplier, capable of managing complex priorities in a fast-paced environment. The ideal candidate will demonstrate exceptional judgment, professionalism, and outstanding communication skills, both verbal and written. This position involves supporting senior executives across multiple time zones, coordinating high-level meetings, managing intricate calendars, and handling sensitive information with discretion. The Executive Assistant will serve as a vital communication link within the organization, facilitating smooth operations and strategic initiatives. Candidates located in the Pacific Time Zone are preferred, given the nature of the role’s coordination needs.

Qualifications

  • Bachelor’s degree from an accredited university or equivalent work experience
  • 10+ years of experience supporting executives across multiple time zones
  • Proven track record supporting high-level leadership in fast-paced environments
  • Strong project management skills from conception to completion
  • Exceptional organizational and multitasking abilities with meticulous attention to detail
  • Proficiency in Microsoft Office Suite (Word, PowerPoint, Excel) and aptitude for learning new systems
  • Excellent verbal and written communication skills, with experience engaging at the executive level
  • Self-starter with the ability to work independently and proactively anticipate needs
  • High level of professionalism, discretion, and confidentiality in handling sensitive matters
  • Ability to build consensus, address complex issues, and work collaboratively across teams

Responsibilities

  • Manage complex calendars across global time zones, including scheduling meetings, coordinating travel, and preparing agendas
  • Lead cross-functional projects and provide strategic support for executive initiatives, tracking deliverables and managing timelines
  • Proactively anticipate executive needs and coordinate with relevant stakeholders and resources to facilitate decision-making
  • Own critical deliverables and special assignments, setting objectives, monitoring progress, and resolving issues
  • Attend meetings, communicate agendas, track action items, and ensure accountability among stakeholders
  • Serve as a central communication hub between executives, their teams, and cross-functional partners
  • Manage external contacts, identify key stakeholders, and understand their significance to business objectives
  • Assist in preparing presentation materials for senior management meetings, off-sites, and all-hands sessions
  • Handle sensitive information with sound judgment, discretion, and confidentiality
  • Address and resolve complex issues by building consensus and working toward effective solutions
  • Maintain high personal accountability standards and promote the same among team members
  • Facilitate communication and information sharing across teams to enhance organizational efficiency
