About The Role

We are seeking a highly organized and proactive Executive Assistant to support our Engineering and Design leaders. In this role, you will act as a trusted partner, managing complex calendars, coordinating meetings, and facilitating team initiatives to ensure our executives operate efficiently and effectively. Your responsibilities will include managing logistics for meetings and events, preparing agendas and materials, and supporting travel arrangements. You will serve as a key point of contact across cross-functional teams, assisting with deliverables and external engagements. Your ability to anticipate needs, prioritize competing demands, and maintain high levels of discretion will be essential to your success. Qualifications

  • 5+ years of experience as an Executive Assistant supporting senior leadership, preferably in high-growth or tech environments
  • Exceptional organizational skills with meticulous attention to detail
  • Strong judgment and professionalism, with a high level of discretion handling sensitive information
  • Ability to work efficiently under pressure, balancing multiple priorities simultaneously
  • Excellent written and verbal communication skills
  • Self-motivated with a proactive approach to anticipating needs and solving problems
  • Experience creating systems, processes, and structures in dynamic settings
  • Proficiency with Google Workspace, Slack, Notion, and similar productivity tools
  • Experience collaborating with Engineering, Product, and Design teams is a strong plus

Responsibilities

  • Manage and optimize complex executive calendars, including scheduling meetings, prioritizing requests, and resolving conflicts
  • Proactively monitor and keep executives on track throughout the day by flagging upcoming meetings, deadlines, and changes in priorities
  • Coordinate and execute team events such as offsites, onsite meetings, and team-building activities
  • Prepare meeting agendas, presentation materials, and relevant documentation to ensure productive discussions
  • Attend meetings as needed to take notes, track action items, and follow up on deliverables
  • Collaborate with cross-functional teams to support shared initiatives and project deliverables
  • Manage all aspects of executive travel, including booking, itineraries, and external engagement scheduling
  • Assist with managing receipts, expenses, and reimbursements with accuracy and attention to detail
  • Provide additional operational and administrative support to the Engineering and Design teams as required
