About The Role
We are seeking an experienced and highly organized Executive Assistant to provide high-impact support to our Engineering and Design leaders. In this role, you will act as a trusted partner, managing complex calendars, coordinating meetings, and ensuring executives are prepared and on track throughout their day. Your responsibilities will include managing logistics for team events, preparing meeting materials, and supporting broader organizational initiatives. You will also handle executive travel arrangements, expense management, and assist with operational tasks to streamline workflows. Qualifications
- 5+ years of experience as an Executive Assistant supporting senior leaders, preferably in high-growth or tech environments
- Exceptional organizational skills with meticulous attention to detail and follow-through
- Strong judgment, professionalism, and ability to handle sensitive information with discretion
- Proven ability to prioritize and manage competing demands efficiently
- Excellent written and verbal communication skills
- High level of autonomy with strong problem-solving and decision-making capabilities
- Proactive approach with the ability to anticipate needs and act proactively
- Experience creating systems, processes, and workflows in dynamic environments
- Advanced proficiency with Google Workspace, Slack, Notion, and similar productivity tools
- Experience collaborating with Engineering, Product, or Design teams is a strong plus
- Manage and coordinate complex executive calendars, including scheduling meetings, prioritizing requests, and resolving conflicts
- Proactively monitor and keep executives informed of upcoming meetings, deadlines, and shifting priorities
- Organize and execute team offsites, onsite events, and team-building activities
- Prepare agendas, materials, and presentations to facilitate productive meetings
- Attend meetings to take notes, track action items, and follow up on deliverables
- Collaborate with cross-functional teams to support shared initiatives and project deliverables
- Coordinate travel arrangements for executives, including booking accommodations, transportation, and managing itineraries
- Assist with managing external engagements such as interviews, speaking engagements, and events
- Maintain accurate records of receipts, expenses, and reimbursements with attention to detail
- Provide operational support to Engineering and Design teams as needed to enhance efficiency
