Qualifications
- Minimum of 3 years of experience supporting executives
- Over 10 years of administrative experience
- Associate's degree from an accredited university; Bachelor's degree preferred
- Strong proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook)
- Excellent written and verbal communication skills
- Proven ability to develop professional presentations and materials
- Exceptional organizational and time-management skills
- Ability to work independently and handle multiple priorities simultaneously
- High level of discretion and confidentiality
- Availability to work after hours and meet critical deadlines as needed
- Manage and prioritize the CEO's calendar and schedule, ensuring optimal time management
- Screen, manage, and respond to emails and incoming communications, highlighting urgent matters
- Provide administrative support for various projects, including analysis and documentation preparation
- Coordinate adherence to deadlines and assist with special projects, reports, and correspondence
- Develop, refine, and deliver professional presentations for executive meetings
- Plan, organize, and coordinate meetings, including preparing agendas and minutes
- Attend meetings to capture key points and communicate CEO priorities effectively
- Negotiate with vendors and key resources, securing favorable pricing and terms
- Assist in the development and preparation of reports, schedules, and other documentation
- Compose, edit, and proofread correspondence, contracts, and reports
- Update and maintain task management software for tracking key action items
- Support internal communication efforts across departments and teams
- Read, analyze, and prioritize incoming memos, reports, and submissions
- Draft responses to routine inquiries and maintain strict confidentiality of sensitive information
- Assist with candidate interviews and onboarding processes as needed
- Perform various administrative functions to support the executive team and organization
