About The Role

The Executive Assistant I provides comprehensive administrative support to multiple senior executives within Cox Automotive. This role demands a high level of professionalism, discretion, and integrity, as it involves managing sensitive information and complex schedules. The ideal candidate will demonstrate exceptional organizational skills, proactive problem-solving abilities, and the capacity to adapt swiftly in a fast-paced environment. Responsibilities include managing calendars, coordinating meetings and travel arrangements, preparing reports and presentations, and supporting various departmental projects. The Executive Assistant I acts as a key point of contact for internal and external stakeholders, ensuring seamless communication and operational efficiency. Additionally, this role involves supporting team events, onboarding new employees, and assisting with special projects, contributing to the overall success of the executive team and the organization.

Qualifications

  • High School Diploma or GED required; Associate’s or Bachelor’s degree preferred
  • Minimum of 5 years of executive-level administrative experience or equivalent
  • Proficiency in Microsoft Word, Excel, PowerPoint, and Outlook
  • Strong organizational and time management skills
  • Excellent communication and interpersonal skills
  • Ability to handle multiple tasks simultaneously with attention to detail
  • High level of confidentiality and discretion
  • Resourceful, proactive, and self-motivated with minimal supervision
  • Experience with digital devices and new technologies
  • Ability to interpret and respond to ambiguous requests effectively

Responsibilities

  • Organize and manage meetings, including securing venues, preparing materials, and coordinating logistics such as catering and transportation
  • Manage VP’s appointment schedules, including planning, scheduling, and prioritizing meetings and conference calls
  • Arrange all travel and accommodations for executives, including detailed itineraries
  • Coordinate scheduling of meetings and conference rooms, supporting virtual and in-person events
  • Facilitate and troubleshoot technology platforms for meetings, such as MS Teams
  • Greet and assist guests, ensuring a welcoming environment
  • Support group meetings and offsite events, including logistics and agenda management
  • Assist with onboarding processes for new employees, including space setup and supply procurement
  • Support team-wide events, including planning, logistics, and execution
  • Prepare and manage expense reports, including P-card management and budget tracking
  • Compile, analyze, and prepare reports, memos, and presentations as needed
  • Maintain organizational charts, employee reference lists, and department documentation
  • Coordinate office moves and facilities-related activities
  • Attend staff meetings and assist with executive preparations for various activities
  • Serve as a backup for other administrative staff when required
  • Support special projects within the Marketing department and other initiatives as assigned
