About The Role

We are seeking an experienced Executive Assistant to provide comprehensive remote administrative support primarily to our Chief People Officer, with additional responsibilities supporting other executives and departments as needed. This role is based remotely in Boston, with the ability to drive and attend in-person meetings when required. The ideal candidate will be proactive, organized, and capable of managing multiple priorities in a fast-paced, dynamic environment. They will serve as a vital link within the organization, ensuring smooth operations and facilitating effective communication across teams. The Executive Assistant will handle a variety of tasks, from managing calendars and travel arrangements to leading cross-functional projects, developing process documentation, and supporting confidential analyses and reporting. This position offers an exciting opportunity to contribute to a rapidly growing organization that is redefining mineral exploration through technology and innovation.

Qualifications

  • 5+ years of experience as an executive administrative professional, People Operations specialist, or Chief of Staff in a growing company
  • Trustworthy with a high level of integrity and discretion
  • Strong project management skills with the ability to independently drive initiatives to completion
  • Exceptional organizational skills and meticulous attention to detail
  • Proficiency with productivity tools such as Google Workspace and Microsoft Office
  • Experience with diagramming and collaboration software like Lucidchart or Miro
  • Ability to anticipate issues and proactively develop solutions
  • Excellent communication skills, both written and verbal
  • Willingness to become a notary within three months of employment
  • Valid driver’s license and ability to travel as needed
  • Authorized to work in the United States
  • Based in Boston, MA

Responsibilities

  • Provide comprehensive support for the Chief People Officer, including calendar management, email correspondence, travel arrangements, and expense reimbursements
  • Assist with advanced administrative tasks such as acting as a proxy in meetings, synthesizing content, and identifying organizational trends
  • Lead or support cross-departmental projects, managing timelines, deliverables, and communication to ensure successful completion
  • Develop and maintain process documentation, manuals, and reference materials by collaborating with stakeholders
  • Coordinate the review, approval, and execution of critical company documents, ensuring timely signatures and compliance
  • Participate in process-mapping sessions, capturing workflows, and creating visual process diagrams for organizational clarity
  • Build reusable tools, reports, templates, and frameworks to streamline operations and support ongoing initiatives
  • Serve as a trusted liaison, maintaining discretion and professionalism when handling sensitive information and communications
  • Support other organizational units with administrative tasks as needed, demonstrating flexibility and team-oriented mindset
  • Identify potential issues proactively and implement solutions to improve efficiency and effectiveness across functions
