About The Role
We are seeking an experienced and highly organized Executive Assistant to provide comprehensive support to our Chief Financial Officer (CFO), with additional responsibilities supporting other G&A leaders. This role can be remote (preferably within the Pacific Time Zone) or based in Oakland, California. The ideal candidate will act as a trusted confidante and partner to our executive leadership, anticipating their needs and streamlining their schedules in a fast-paced environment. The Executive Assistant will manage complex calendars, coordinate meetings, handle confidential information, and facilitate logistical arrangements for leadership events such as off-sites, board meetings, and all-hands gatherings. This role requires a proactive approach, excellent communication skills, and the ability to adapt quickly to changing priorities. The successful candidate will be an integral part of our finance organization, supporting our leadership team in driving operational efficiency and organizational success.

Qualifications
- 4+ years of experience supporting C-level executives, such as CEO, CFO, or VP, in a high-growth technology or comparable environment
- Strong organizational and administrative skills with a keen eye for detail
- Excellent written and verbal communication abilities
- Proven project management skills with the ability to handle multiple priorities
- Dependable, resourceful, and process-driven mindset
- Professional demeanor with integrity and respect in all interactions
- Strong interpersonal skills to build relationships across departments and manage up effectively
- Proficiency in Google Suite (Gmail, Calendar, Slides, Drive), Confluence, Zoom, and Slack
- Interest in growing within a transparent and collaborative work culture
- Experience in event management and coordination
- Advanced Excel skills
- Basic troubleshooting for audio and visual equipment
- Familiarity with managing travel arrangements and expense reports
- Ability to handle ad hoc special projects with discretion and efficiency
- Strategically manage the calendars of the CFO, CPO, CLO, and several VPs, ensuring alignment of priorities and efficient scheduling
- Coordinate and communicate priorities across teams to facilitate smooth operations
- Handle confidential and sensitive information with discretion and professionalism
- Provide logistical support for leadership meetings, off-sites, board meetings, All Hands, and other corporate events
- Create and design presentation decks and slides for executive meetings and external engagements
- Manage travel arrangements, including flights, accommodations, and transportation, while preparing for unforeseen changes
- Organize and process expense reports and assist with ad hoc special projects as needed
- Partner with the CEO's Chief of Staff and other executive business partners on various strategic initiatives
- Maintain documentation and records on Confluence, ensuring accuracy and accessibility
- Clearly communicate team priorities and updates across departments to ensure alignment and transparency
