About The Role
Under limited supervision, the Executive Administrative Assistant will provide high-level administrative support within the college’s department. This role involves compiling information, preparing detailed reports, managing communication requests, and performing essential administrative functions while maintaining strict confidentiality. The successful candidate will act as a key liaison among various college departments, faculty, staff, and external stakeholders, ensuring smooth operational workflows. Responsibilities include managing calendars, scheduling appointments, assisting with budget and procurement processes, and tracking project progress through systems like TeamDynamix. The role requires a proactive approach, excellent organizational skills, and the ability to handle sensitive information discreetly. The Executive Administrative Assistant will also support the department with record management, document preparation, and other duties as assigned to promote efficiency and effectiveness within the team.

Qualifications
- High school diploma or GED, supplemented with relevant training or coursework related to administrative support
- Minimum of three years of related administrative experience
- Proficiency in office management and administration practices
- Strong knowledge of Microsoft Office Professional or similar applications
- Excellent customer service skills and attention to detail
- Ability to analyze problems and develop effective solutions
- Exceptional organizational and time management skills
- Effective verbal and written communication skills
- Ability to interact professionally with diverse populations
- Commitment to maintaining confidentiality and discretion
- Regular physical attendance and the ability to perform tasks requiring manual dexterity and physical mobility
- Experience with project tracking systems such as TeamDynamix is preferred
- Provide high-level administrative support by compiling information and preparing reports for departmental use
- Manage and monitor various projects to ensure compliance and effectiveness, utilizing systems like TeamDynamix
- Respond to inquiries from citizens, officials, faculty, staff, and external agencies efficiently and professionally
- Draft responses to complex correspondence, informing supervisors of actions taken
- Serve as a liaison among college departments, staff, and external contacts to facilitate communication and collaboration
- Maintain and control records, including databases, logs, and financial documents
- Manage and coordinate calendars, schedule appointments, and arrange meeting logistics
- Assist in preparing electronic purchase orders, expense reports, and budget transfers
- Track departmental funding, expenses, and related records using complex spreadsheets
- Acquire knowledge of other departmental duties and serve as a backup when necessary
- Perform additional job-related duties as assigned to support departmental operations
