About The Role

The Executive Administrator at Nestlé Health Science plays a vital role in supporting the leadership team within the Holistic Health division. Reporting directly to the Vice Presidents of Supply Chain and Technical & Production, this position is responsible for delivering high-quality administrative support that ensures the smooth operation of executive functions. The role involves managing complex calendars, coordinating meetings and travel arrangements, preparing detailed reports and presentations, and handling sensitive information with discretion. The Executive Admin acts as a key liaison between senior leaders, internal teams, and external partners, facilitating seamless communication and prioritization of critical tasks. This position requires a proactive individual capable of anticipating needs, managing multiple priorities efficiently, and maintaining professionalism under pressure. Depending on the candidate's location, the role may be remote or hybrid, with a preference for candidates residing within a commutable distance to the Bridgewater, NJ headquarters. The successful candidate will contribute significantly to the leadership team's productivity and organizational effectiveness, embodying Nestlé’s values of integrity, collaboration, and excellence.

Qualifications

  • High school diploma or equivalent required; advanced degree strongly preferred
  • Minimum of 5+ years of executive or senior administrative support experience, preferably supporting C-suite leaders
  • Proven experience managing complex calendars, meetings, and travel arrangements in a fast-paced environment
  • Experience coordinating across cross-functional teams and handling confidential information
  • Proficiency with Microsoft Office Suite and virtual meeting platforms (e.g., Teams, Zoom)
  • Experience with Concur Online Travel & Expenses and SAP is a plus
  • Exceptional organizational, prioritization, and time management skills
  • Strong written and verbal communication abilities
  • High level of professionalism, discretion, and sound judgment
  • Ability to anticipate needs, solve problems proactively, and support multiple leaders simultaneously

Responsibilities

  • Manage complex calendars, appointments, and scheduling priorities for multiple senior leaders
  • Coordinate internal and external meetings, including setting agendas, logistics, preparing materials, and ensuring follow-up actions
  • Arrange detailed travel itineraries, accommodations, transportation, and process expense reports for leadership travel
  • Prepare, edit, and organize presentations, reports, correspondence, and leadership communications with accuracy and professionalism
  • Monitor and prioritize incoming requests, communications, and issues to facilitate efficient decision-making
  • Serve as a liaison with senior leaders, team members, and external partners, maintaining professionalism and confidentiality at all times
  • Track action items, deadlines, and follow-ups to ensure timely completion of leadership priorities
  • Support meeting preparation through document gathering, briefing materials, note-taking, and post-meeting follow-up
  • Handle sensitive and confidential information with discretion, judgment, and integrity
  • Continuously seek process improvements to enhance administrative efficiency and organizational effectiveness
  • Assist with additional duties as needed to support the Holistic Health Leadership Team
