About The Role

The Executive Administrative Assistant at Palm Beach State College provides high-level administrative support to department leaders and staff, ensuring smooth and efficient operations. Under limited supervision, this role involves compiling information, preparing detailed reports, managing complex schedules, and handling confidential communications with discretion. The position requires a proactive individual capable of multitasking and prioritizing tasks effectively to support departmental objectives. The assistant acts as a liaison among various college departments, external agencies, and community stakeholders, fostering positive relationships and ensuring timely information flow. Qualifications

  • High school diploma or GED, with additional relevant training or certification.
  • Minimum of three years of related administrative experience.
  • Proficiency in Microsoft Office Professional or similar applications.
  • Knowledge of office management and administrative procedures.
  • Excellent customer service skills and ability to communicate effectively both verbally and in writing.
  • Strong attention to detail and effective time management skills.
  • Ability to analyze problems, prioritize tasks, and manage multiple responsibilities simultaneously.

Responsibilities

  • Perform confidential administrative duties, including compiling reports, managing correspondence, and maintaining records.
  • Monitor and coordinate various projects to ensure compliance and effectiveness.
  • Answer inquiries, screen calls, research information, and respond to requests efficiently from internal and external sources.
  • Draft and prepare complex correspondence, reports, and presentations for departmental use.
  • Serve as a liaison among college departments, faculty, staff, students, and external agencies.
  • Maintain and organize records, databases, logs, and financial documents such as purchase orders and expense reports.
  • Manage and coordinate calendars, schedule appointments, meetings, and reserve facilities as needed.
  • Assist in budget management, including tracking funding, expenses, and preparing financial documentation.
  • Support procurement processes by assisting in the preparation of purchase orders and related documentation.
  • Acquire knowledge of other staff duties to serve as a backup when necessary.
  • Perform other related duties as assigned to support departmental and college objectives.
