Qualifications
- College Degree or equivalent professional experience preferred
- 5-10 years of experience providing administrative support to senior executives
- Experience supporting C-Suite executives in large or public companies is a plus
- Excellent written and oral communication skills
- Strong organizational and time-management skills
- Proven ability to work independently and collaboratively in a hybrid environment
- Experience with supporting HR, Finance, Banking, or Investment functions is advantageous
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), SharePoint, Teams, Zoom, and Adobe tools
- Ability to handle confidential information with discretion and professionalism
- Flexibility to travel to West Palm Beach approximately once a month for meetings
- High level of initiative, problem-solving ability, and responsiveness
- Experience supporting executive teams remotely and in-office
- Manage complex calendars and coordinate appointments for the Chief Investment Officer and Chief Administrative Officer
- Prepare and edit correspondence, reports, and presentations, ensuring accuracy and professionalism
- Arrange detailed travel plans, itineraries, and meeting logistics
- Coordinate and facilitate meetings, including preparing agendas, taking notes, and distributing minutes
- Serve as a gatekeeper, prioritizing access to the executives and ensuring their time is optimized
- Assist with expense reporting and budget tracking
- Support the preparation of internal and external communications and event coordination
- Maintain confidentiality and exercise discretion when handling sensitive information
- Provide backup support to other executive assistants during high-demand periods or absences
- Participate in special projects and initiatives as assigned by the executives
- Collaborate with various departments and external vendors to ensure smooth operations
- Coordinate logistics for team meetings, employee engagement activities, and offsite events
