About The Role

The Executive Administrator plays a vital role in supporting the Vice Presidents of Supply Chain and Technical & Production within Nestl Health Science. This position offers high-level administrative support by managing complex schedules, coordinating meetings, and handling travel arrangements for senior leadership. The role requires proactive organization, discretion, and excellent communication skills to ensure seamless operations across internal teams and external partners. The Executive Admin will prepare and organize leadership materials, monitor and prioritize incoming requests, and serve as a key liaison to facilitate effective decision-making. This position can be remote or hybrid, depending on the candidate's location, with a strong preference for those within commuting distance to our headquarters in Bridgewater, NJ. The successful candidate will demonstrate exceptional organizational abilities, professionalism, and the capacity to manage multiple priorities in a fast-paced environment.

Qualifications

  • High school diploma or equivalent required; advanced degree strongly preferred
  • Minimum of 5+ years of executive or senior administrative support experience, preferably supporting C-suite leaders
  • Proven experience managing complex calendars, meetings, and travel arrangements
  • Experience handling confidential information with discretion and integrity
  • Proficiency in Microsoft Office Suite and virtual meeting platforms (e.g., Teams, Zoom)
  • Experience with Concur Online Travel & Expenses and SAP is a plus
  • Strong organizational, prioritization, and time management skills
  • Excellent written and verbal communication abilities
  • Ability to anticipate needs and proactively solve problems
  • Demonstrated professionalism, sound judgment, and discretion

Responsibilities

  • Manage complex calendars, appointments, and scheduling priorities for multiple senior leaders
  • Coordinate internal and external meetings, including preparing agendas, logistics, and follow-up actions
  • Arrange detailed travel itineraries, accommodations, transportation, and expense documentation for leadership travel
  • Prepare, edit, and organize presentations, reports, correspondence, and other leadership materials
  • Monitor and prioritize incoming requests, communications, and issues to support efficient decision-making
  • Serve as a liaison with senior leaders, team members, and external partners, maintaining professionalism and confidentiality
  • Track action items, deadlines, and follow-ups to ensure timely completion of leadership initiatives
  • Support meeting preparation through document gathering, briefing materials, note-taking, and post-meeting follow-up
  • Handle sensitive and confidential information with high discretion and integrity
  • Continuously seek improvements in administrative processes and organizational systems
  • Assist with additional duties as required to support the Holistic Health Leadership Team
