About The Role

We are seeking a highly organized and proactive Executive Administrative Assistant to provide high-level support to two senior executives within our Peripheral Intervention (PI) business unit. This role involves managing sensitive and time-critical information with discretion, coordinating complex schedules, and ensuring seamless execution of daily operations. The ideal candidate will serve as a key point of contact for internal teams and external stakeholders, including customers, physicians, and corporate officers across U.S. and global operations. The position requires exceptional communication, organizational skills, and the ability to handle multiple tasks simultaneously in a fast-paced environment. This role offers an opportunity to work closely with senior leadership, contribute to strategic initiatives, and support the overall success of the department.

Qualifications

  • Bachelor's degree preferred; High School diploma required
  • Minimum of 6 years of administrative experience supporting senior leaders at the Director or Vice President level
  • Proficiency in Microsoft Office Suite (Outlook, Excel, Word, PowerPoint, SharePoint)
  • Experience with Concur or similar Travel & Expense systems
  • Experience using Adobe Acrobat and DocuSign is preferred
  • Proven ability to manage planning and logistics for both small and large-scale meetings and events
  • Strong project management skills with a record of meeting deadlines
  • Excellent verbal and written communication skills
  • Exceptional time management and prioritization abilities
  • Ability to handle sensitive and confidential information with tact and professionalism

Responsibilities

  • Arrange complex travel itineraries for domestic and international trips, including all necessary documentation and pre-read materials
  • Draft, review, and edit correspondence, presentations, reports, and meeting minutes with accuracy and confidentiality
  • Provide comprehensive administrative support to VP and GM leadership teams, assisting with special projects and initiatives
  • Manage and coordinate executive calendars across multiple time zones, ensuring optimal scheduling and accessibility
  • Proactively prepare and track expense reports, reconcile credit card receipts, and manage budget records
  • Serve as liaison for senior leaders with internal departments, external partners, and healthcare professionals
  • Coordinate contracts, travel arrangements, and honorarium payments for physicians and healthcare professionals
  • Assist in organizing company events, trade shows, and charitable activities
  • Monitor and maintain supplies and materials for the department
  • Process purchase orders and invoices, add new vendors to the ERP system, and interface with accounts payable
  • Partner with cross-functional teams on projects, reporting, and administrative tasks
  • Perform all other duties as assigned to support department operations and leadership needs
