The Role
ETC is seeking a highly organized and energetic individual to join our team as the Chief of
Staff to the Chief Executive Officer. This position will be responsible for organizing and
supporting the daily activities of the CEO including inbox oversight, schedule management
and travel planning while also assisting in administrative functions for the firm. The ideal
candidate will be excited about working in high-paced, demanding environment, highly
organized, professional, and enthusiastic about managing daily functions and ensuring
smooth operations. This role will initially be remote with future opportunities for in-person in
San Juan, Puerto Rico.
Responsibilities
- Serve as a strategic partner to the CEO, helping prioritize initiatives, manage competing demands, and ensure focus on highest-impact activities
- Coordinate across the executive team to track initiatives, ensure alignment, and drivefollow- through
- Prepare the CEO for meetings, decisions, and external engagement by synthesizing information, highlighting key considerations, and organizing briefing materials
- Maintain the CEO’s calendar: supporting daily task and outreach prioritization
- Manage the CEO’s inbox helping to prioritize critical communication and maintain consistent and professional communication externally and across the teamLead meeting coordinating, including agendas, notes, and tracking action items
- Support drafting and follow-up of executive correspondence
- Maintain the CEO’s address book and upload new contacts regularly to Outlook and the Firm’s CRM
- Support file organization and upkeep
- Coordinate travel arrangements and trip organization for the CEO and the ETC executive team as needed
- Manage expense reporting for ETC executive team
- Coordinate with IT support to resolve technical problems efficiently
- Assist in planning and organizing company events, meetings, and conferences
- Support the CEO with personal matters as they arise

- Coordinate mail for virtual mailboxes
- Identify and recommend process improvements to strengthen team coordination and efficiency
Qualifications
- 3+ years of professional experience
- Highly organized, detail-oriented, and professional
- Exceptional written and verbal communication skills
- A positive attitude and growth mindset
- A history of success in cultivating strong internal and external relationships and collaborating cross-functionally
- Thrives in a fast-paced environment, with the ability to stay calm and composed
- Strong technical capacity and experience working with the Microsoft Windows suite (Word, PowerPoint, Excel, Outlook), experience and/or a willingness to learn Photoshop and Adobe Indesign
- Discretion and confidentiality in handling sensitive information
- Able to work Eastern Standard Time hours
- Spanish bilingual a plus
- Bachelor’s degree from a top university
