As we continue to grow, we are looking for a reliable and organized Appointment Setter to join our team and ensure that our patients have access to timely and efficient care.

Position Overview

The Appointment Setter will be responsible for managing patient appointment scheduling, confirming visits, and ensuring that patients are efficiently directed to the right providers. This role involves strong communication skills, attention to detail, and a commitment to providing excellent customer service. The Appointment Setter will be a key part of our front office team, ensuring that our patients' needs are met in a timely and professional manner.

Key Responsibilities

  • Schedule appointments for patients with cardiologists and other medical staff based on their availability and patient needs.
  • Confirm patient appointments via phone, email, or text reminders.
  • Respond to patient inquiries regarding appointment scheduling, office hours, and available services.
  • Maintain an organized schedule for providers, ensuring that appointment times are accurately allocated and avoid conflicts.
  • Collect and verify patient information, including insurance details and medical history, during scheduling.
  • Communicate effectively with patients to gather necessary pre-appointment details and inform them of office policies.
  • Reschedule or cancel appointments as needed, ensuring patients are informed of any changes promptly.
  • Collaborate with medical staff to coordinate follow-up appointments and ensure continuity of care.
  • Assist with data entry and maintaining accurate patient records in the electronic health record (EHR) system.
  • Handle patient complaints or concerns with professionalism and escalate issues to appropriate staff when necessary.
  • Assist with general office duties, including answering phones, managing patient files, and handling administrative tasks as needed.

Qualifications

  • High school diploma or equivalent required; additional education or training in healthcare or administration is a plus.
  • Previous experience in an administrative or customer service role, preferably in a healthcare setting.
  • Strong organizational skills and attention to detail.
  • Excellent communication skills, both verbal and written.
  • Proficiency with scheduling software and basic office tools such as Microsoft Office Suite.
  • Ability to multitask and manage a high volume of calls in a fast-paced environment.
  • Friendly, patient, and professional demeanor.
  • Knowledge of medical terminology or prior healthcare experience is a plus but not required.

Preferred Skills

  • Familiarity with electronic health records (EHR) systems.
  • Prior experience in a medical office or cardiology practice.
  • Bilingual in English and Spanish is a plus.
