About The Role

Meta is seeking a highly organized and proactive Administrative Specialist to join our Global Administrative Specialist program team. This full-time position involves providing comprehensive remote administrative support to multiple clients across the organization. The successful candidate will manage complex and high-volume calendaring, coordinate domestic and international travel arrangements, and handle expense reporting with precision and discretion. The role requires excellent communication skills, the ability to prioritize multiple tasks effectively, and a proactive approach to supporting business needs. As an integral part of our administrative team, you will collaborate with colleagues worldwide, ensuring seamless coordination of meetings, travel, and administrative services aligned with company standards and service level agreements. Qualifications

  • Minimum of 3+ years of high-volume coordination experience
  • At least 3+ years of providing administrative support to two or more executives
  • Experience managing complex calendars for multiple clients or executives
  • Proficiency with Microsoft Office, Google Suite, Concur, or similar programs
  • Strong judgment and discretion in handling sensitive information
  • Ability to prioritize multiple tasks and meet deadlines effectively
  • Excellent communication and interpersonal skills
  • Experience coordinating domestic and international travel logistics
  • Experience preparing and submitting expense reports
  • Ability to establish and maintain professional relationships across teams and departments

Responsibilities

  • Provide remote, high-volume calendaring, travel planning, and expense support to multiple clients
  • Manage complex and dynamic calendars, scheduling internal and external meetings across various campuses
  • Coordinate and book domestic and international travel arrangements using Concur or similar platforms
  • Prepare, review, and submit corporate expense reports with accuracy and compliance
  • Maintain clear communication with clients to understand business priorities and tailor support accordingly
  • Partner with clients and colleagues to ensure smooth meeting coordination and room bookings
  • Offer proactive time management recommendations to enhance client productivity
  • Draft and communicate updates or changes related to support services and program scope
  • Collaborate with global administrative colleagues to share best practices and improve processes
  • Provide coverage and support for colleagues as needed to ensure continuous service delivery
  • Educate clients on program goals, scope, and service level agreements to foster transparency and understanding
