Qualifications
- Associates/Vocational or related training education
- 0-3+ years of related office experience
- Notary public certification (preferred)
- Strong organizational skills with the ability to prioritize and multi-task
- Proficiency in Microsoft Office Suite / O365 applications
- Excellent problem-solving abilities
- Resourceful and proactive approach to tasks
- Professional demeanor in handling sensitive and confidential information
- Ability to identify, analyze, and implement process improvements
- Supportive of remote management and virtual collaboration
- Effective communication skills in English, both written and verbal
- Perform scanning, filing, and document management duties
- Assist in preparing, proofreading, finalizing, and distributing correspondence, reports, proposals, and other materials
- Manage incoming and outgoing mail, including scanning and distribution
- Coordinate and organize meetings, including scheduling, preparing agendas, and distributing minutes
- Assist with event planning such as lunch and learns or client meetings
- Handle telephone calls and direct inquiries to appropriate staff members
- Enforce and utilize company standards for file organization, templates, and naming conventions
- Order office supplies and troubleshoot equipment malfunctions to ensure operational efficiency
- Support administrative tasks related to BST, Concur, and Unanet systems (timesheets, expenses, project setup)
- Assist Human Resources with onboarding activities, including workspace setup for new hires
- Act as a liaison with Corporate Services for administrative and operational support
- Communicate with clients on behalf of project managers as needed
- Assist with the submission and receipt of deliverables following established procedures
- Maintain and update internal and client databases accurately
- Perform additional administrative tasks as assigned to support team objectives
- Competitive hourly rate ranging from $18.00 to $27.00, commensurate with experience and qualifications
