About The Role

The Culinary Administrative Assistant with NMS plays a vital role in supporting the culinary team by providing comprehensive administrative assistance to ensure the efficient operation of culinary services within the organization. This remote position requires a highly organized individual capable of managing multiple tasks, coordinating schedules, and facilitating communication between customers, vendors, and internal staff. Reporting directly to the General Manager, the Culinary Administrative Assistant acts as a key point of contact for various stakeholders, ensuring timely responses to inquiries, accurate record-keeping, and smooth execution of culinary-related events and activities. The role demands a proactive approach, excellent communication skills, and the ability to work independently in a fast-paced environment. This position is based in Anchorage, Alaska, and requires residence within the state to comply with local regulations and operational needs.

Qualifications

  • High school diploma or equivalent
  • Knowledge of NSLP (National School Lunch Program) provided during training
  • Strong organizational and time management skills
  • Excellent written and verbal communication skills
  • Attention to detail and accuracy in work
  • Experience with billing and accounting processes
  • Intermediate proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook)
  • Cash handling skills and organizational abilities
  • Ability to work rotating shifts, including weekends and callouts
  • Fluent in English (reading, writing, speaking)
  • Preferred: Basic understanding of culinary operations
  • Preferred: Previous experience in an administrative role
  • Ability to work independently and as part of a team
  • Flexibility and adaptability to changing priorities
  • Problem-solving and decision-making skills
  • Capability to handle multiple tasks simultaneously

Responsibilities

  • Serve as the primary point of contact between customers, vendors, and the culinary team to facilitate order fulfillment, inquiries, and information dissemination
  • Manage calendars, schedule appointments, and coordinate meetings for the culinary staff
  • Handle incoming calls and emails promptly, providing professional and courteous responses
  • Prepare, review, and maintain various documents including reports, memos, invoices, and budgets
  • Assist with budgeting, expense tracking, and financial record-keeping
  • Coordinate travel arrangements for culinary team members as needed
  • Maintain accurate inventory records for food and equipment, monitor stock levels, and identify shortages
  • Place orders with suppliers, ensuring timely procurement of necessary items
  • Assist in planning and organizing culinary events, including catering and special functions
  • Coordinate with vendors and suppliers to ensure successful event execution
  • Respond to customer inquiries and resolve issues in a professional and timely manner
  • Maintain a clean, organized, and safe workspace
  • Support supervision of staff and assist with departmental tasks as assigned
  • Perform other duties related to the department’s success and operational needs
