About The Role

The Legal Administrative Assistant at Rosendin plays a vital role in supporting the Risk & Legal business unit. This position is responsible for providing comprehensive administrative, organizational, and transactional support to the in-house risk management team. The role involves managing contract documentation, corporate governance activities, risk mitigation processes, procurement agreements, vendor relationships, and other legal functions essential to a large electrical contracting business. The ideal candidate will be detail-oriented, proactive, and able to handle multiple priorities efficiently. This role offers a unique opportunity to work closely with legal and risk professionals, gaining valuable experience in legal administration within a fast-paced and growing organization.

Qualifications

  • Two or more years of office administrative work experience
  • Associate degree in Business Administration or a related discipline, or a combination of education, training, and relevant experience
  • Preferred: Experience as a legal assistant, legal secretary, paralegal assistant, or similar role, preferably in transactional law, construction law, or corporate in-house departments
  • Prior experience with eDiscovery platforms (preferred)
  • Proficiency in computer skills, including Microsoft Office Suite (Outlook, Word, Excel) and familiarity with Oracle (preferred)
  • Strong organizational, communication, and interpersonal skills
  • Attention to detail and analytical skills
  • Ability to prioritize tasks and adapt to changing deadlines

Responsibilities

  • Organize and maintain digital and physical files, ensuring accurate indexing and secure storage
  • Support corporate governance activities, including entity filings, annual reports, and business licenses
  • Administer legal department databases, contract repositories, and document management systems
  • Manage calendars, schedule meetings, and coordinate communications for the risk team
  • Prepare meeting materials, agendas, and reports
  • Handle day-to-day administrative tasks such as mail, packages, expense reports, and office supplies management
  • Process legal invoices, expense reports, and monitor departmental budgets
  • Assist in onboarding outside counsel, collecting billing guidelines, and maintaining contact lists
  • Conduct preliminary research related to contracts, regulatory requirements, and licensing
  • Support the risk team in preparing documentation for audits, compliance reviews, and corporate initiatives
  • Maintain forms, checklists, workflows, and process documentation
  • Perform clerical duties including filing, typing, and data entry as needed
