Qualifications
- Minimum of 3+ years of experience as an administrative assistant or in a similar support role
- Experience in leveraging or critically thinking about integrating AI into work processes, decision-making, or problem-solving
- Proficiency with Word, Outlook, PowerPoint, Zoom, Concur, BOX, and other relevant tools
- Exceptional multitasking and organizational skills with the ability to manage multiple calendars and requests
- Strong interpersonal and communication skills across all organizational levels
- High level of confidentiality, discernment, and sound judgment
- Ability to work independently, take initiative, and handle pressure while meeting deadlines
- Technical proficiency and comfort with virtual collaboration tools and platforms
- Must be within a commutable distance to West Palm Beach
- Manage and coordinate calendars, schedule meetings, and handle all logistics for internal and external engagements
- Assist with meeting preparation, including creating agendas, gathering materials, and taking notes
- Proactively resolve scheduling conflicts and ensure efficient time management for senior leaders
- Coordinate travel arrangements, including flights, hotels, and transportation for domestic and international trips
- Prepare and submit expense reports, ensuring compliance with company policies
- Support onboarding activities for new hires and vendors, including space, equipment, and access setup
- Handle help desk support requests for senior directors and other administrative needs
- Assist with project work and special assignments to support team goals
