About The Role

The Legal Support Assistant plays a vital role in ensuring the smooth operation of the firm’s legal processes and administrative functions. This position involves providing comprehensive administrative, organizational, and technical support to attorneys and legal professionals. The ideal candidate will be responsible for a variety of tasks including managing schedules, preparing legal documents, assisting with filings, and supporting client interactions. The role requires a detail-oriented individual with excellent communication skills and the ability to prioritize tasks effectively. The position offers an opportunity to work in a dynamic legal environment, supporting high-profile cases and legal proceedings, while gaining valuable experience in legal support functions.

Qualifications

  • High school diploma or equivalent; bachelor’s degree preferred
  • Previous experience in a legal or administrative support role
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
  • Knowledge of legal terminology, procedures, and document management systems
  • Strong organizational and time management skills
  • Excellent written and verbal communication abilities
  • Ability to handle sensitive and confidential information with discretion
  • Technical aptitude to provide basic support for office equipment and remote connectivity
  • Attention to detail and accuracy in document proofreading and data entry
  • Ability to work independently and collaboratively within a team environment

Responsibilities

  • Provide administrative, organizational, and technical support to legal teams
  • Enter time into the firm’s timekeeping system accurately and timely
  • Manage incoming calls, provide information to callers, and direct inquiries appropriately
  • Arrange travel, catering, and meeting logistics, including conference room setup
  • Handle electronic scans, facsimile transmissions, and ECF filing transmittals
  • Perform transcription and proofreading of legal documents for accuracy
  • Compile reports from established sources and prepare routine correspondence
  • Assist with the preparation and review of patent and trademark applications and related documents
  • Support attorneys and paralegals with filing US Federal/District Court documents and patent correspondence
  • Project a professional image that reflects the firm’s standards and values
  • Interact with clients in a manner that enhances client service and relationships
  • Draft and write routine reports and correspondence with accuracy
  • Manage and maintain the timekeeper calendar using Outlook, ensuring deadlines are met
  • Provide occasional technology support to attorneys and staff, coordinating with IT specialists when needed
  • Prioritize workload efficiently and adapt to changing priorities
  • Participate in ongoing training sessions to enhance technical skills and legal knowledge
  • Stay informed of firm policies, procedures, and application updates
  • Assist and mentor Legal Support Assistant Trainees, ensuring quality and consistency in work
