Qualifications
- High school diploma or equivalent; some college coursework preferred
- Minimum of 2+ years of experience in an administrative or clerical support role
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Strong organizational and time management skills
- Excellent verbal and written communication abilities
- Ability to work independently and exercise sound judgment
- Experience with travel coordination and expense report preparation (preferred)
- Familiarity with project management tools or software (preferred)
- Knowledge of office procedures and departmental workflows (preferred)
- Prepare, edit, and finalize complex documents, including reports, presentations, proposals, and correspondence, ensuring accuracy and adherence to standards
- Draft and proofread correspondence, maintaining professionalism and consistency
- Manage and organize department files and records in compliance with retention policies
- Assist in creating and maintaining templates, forms, and standardized documents for departmental use
- Receive, screen, and prioritize calls and emails, responding or redirecting inquiries as appropriate
- Act as liaison between the department and internal/external stakeholders to facilitate effective communication
- Coordinate and schedule meetings, prepare agendas, take minutes, and distribute follow-up actions
- Arrange complex travel itineraries, including transportation, accommodations, and scheduling
- Prepare and reconcile expense reports, ensuring compliance with company policies and timely submission
- Support departmental projects by tracking deadlines, organizing materials, and coordinating team activities
- Monitor and order office supplies to ensure department needs are met within budget constraints
- Assist with onboarding new team members by preparing materials and coordinating initial training
- Provide backup support to other administrative staff as needed
- Perform additional tasks assigned by the manager to support department objectives
